Though what it reaches depends on your tier, and few Workspace businesses have set it up, checked what it covers, or told anyone it exists.
The short answer
If your business runs on Google Workspace you already have an assistant, though what it reaches depends on your tier. Business Starter gets basic access with a low prompt ceiling. Standard and above put it inside Docs, Drive and Meet. It reaches that with no connector to configure and nothing indexed into a second system, which is the reason to start there rather than with a separate subscription. Check what your plan includes before buying anything.
The work after that is the same as it is on any platform: agree what it is allowed to touch, pick one job it does repeatedly, and decide who checks the output.
Why nobody talks about this one
Most of the AI advice written for this market assumes Microsoft or OpenAI, mine included, so a business running on Workspace hears far less about the assistant it is already paying for. That is a gap in the writing rather than a verdict on the tool.
The logic is identical to the Microsoft case. An assistant that can see your own content starts ahead of one that cannot, whoever built it. Being on Workspace does not put you behind. It just means fewer people have written the page you are reading.
What to check first
Gemini is included across the paid Workspace tiers rather than sold only as an add-on. A separate add-on covers heavier use, so what matters is not whether you have it but where your tier stops.
The free consumer app and the Workspace version share a name and handle your content differently. Across a team the answer is usually mixed, and it is rarely been checked.
Folder inheritance and shared drive membership do most of the work, and underneath them sits years of individual link sharing that nobody has revisited. The assistant reads the sum of all three, which is why the sharing review belongs before the rollout.
The same failure as everywhere else. An assistant nobody has given a named job to gets opened twice and forgotten, and the renewal arrives with nothing to point at.
Who this is for
Small and mid-sized Australian businesses running on Google Workspace, usually professional services, where someone has asked whether you should be buying ChatGPT and nobody has checked what is already included.
Weighing it against something you would have to buy is a fair question, and it is answered across the four in which AI platform should your business use.

What is sitting in personal My Drive
My Drive files are owned by the individual who created them, so offboarding needs a deliberate transfer step. Skip it and the content is deleted with the account rather than inherited. An assistant reading across Drive makes it obvious how much of the business is sitting in personal accounts.
Which tier, and where it caps
Gemini is included across the paid Workspace tiers, but the ceiling differs and heavier use sits behind a separate add-on. Worth knowing the limit before designing a workflow that needs more than it.
One job, inside Docs or Gmail
Something small and repeated, built in the Doc or the thread where it already happens, so nobody has to remember a separate tool exists.

Quite possibly. Gemini is included across the paid Workspace tiers rather than sold only as an add-on, so check what your plan already covers before paying for anything separate. There is still a separate add-on for higher limits, so included and unlimited are different things.
Is Gemini or ChatGPT the better choice for our business?
The wrong axis. Both draft and summarise well enough that the choice will not decide whether your work improves. The difference that lasts is what each one can reach without help. What Gemini has is native access to your own Gmail, and on Standard and above your Docs and Drive, with no connector to set up or maintain. If the work runs on content you already hold, that access matters more than any difference in capability.
What happens to all the files we shared with a link years ago?
Gemini reads what the person asking can already open. Folder inheritance and shared drive membership decide most of that, and underneath sits a long tail of individual "anyone with the link" decisions nobody has revisited. Nothing new is exposed, but a decade of loose sharing becomes searchable in one sentence rather than buried in Drive. That audit belongs before the rollout, not in response to it.
Should we use Gemini or add ChatGPT on top?
Start with what you hold. Where the work depends on your own documents, the assistant already inside your Workspace starts with less setup between it and them. A second subscription earns its place when someone can name the job it does better and show the work. Not on a general impression.
Is our client data safe in Gemini?
Sign-in decides it. A work account on a paid Workspace tier puts your content under the enterprise terms; the free consumer app of the same name does not, and Essentials Starter sits outside them too. The practical test is not which product someone names, it is which account is in the corner of the screen.
